Your File Formats Explained

Not sure what to do with a .zip, .png, or Canva link? We’ve got you. Here’s exactly what every file type is and how to use it.

๐Ÿ“„ PDF โ€” Your main party file

PDF is the format you’ll receive for almost every PartyinaPDF kit. It’s the gold standard for printables โ€” and for good reason.

Portable Document Format โ€” developed by Adobe

A PDF is a fixed-layout file that looks identical on every device and every printer. When you open a PDF, the design is locked in โ€” colors, fonts, spacing โ€” exactly as we designed it. That’s what makes it perfect for printing. It’s not meant to be edited, just printed and enjoyed.

Share โ†’ Print (AirPrint / WiFi)

Always open PDFs in Adobe Acrobat Reader โ€” not your browser

Chrome, Safari, and Firefox have basic PDF viewers that can compress images and shift colors when printing. Download the free Adobe Acrobat Reader for the sharpest, most accurate prints every time. It’s free at get.adobe.com/reader.

๐Ÿ–ผ๏ธ PNG โ€” Crystal-clear image files

Some kits include PNG files alongside the PDF. These are high-resolution image versions of each design โ€” perfect for digital use or special printing needs.

Portable Network Graphics โ€” lossless image format

PNG files keep every pixel crisp with no quality loss โ€” unlike JPEGs, they don’t get blurry when saved. Many PNGs also have a transparent background, meaning you can layer them over other images or documents without a white box around the design. They’re great for digital invitations, social posts, or printing individual elements.

What you can do with PNG files:

  • ๐Ÿ–จ๏ธ Print individual elements: Insert the PNG into a Word doc, Google Doc, or Canva and print just that one element at whatever size you need.
  • ๐Ÿ“ฑ Use digitally: Share on social media, use in a digital invitation, or add to a slideshow presentation. PNGs look great on screens.
  • ๐ŸŽจ Layer over other designs: Because many PNGs have transparent backgrounds, you can drop them into Canva, Photoshop, or Google Slides and they’ll blend right in.
  • ๐Ÿง Send to a print service: Photo services like Walmart Photo, Shutterfly, and Snapfish accept PNGs. Great for printing cupcake toppers, labels, and sticker sheets.

PNG vs PDF โ€” which should I print?

For most home printing, use the PDF โ€” it’s already formatted for letter-size paper and ready to print in one click. Use the PNG when you need a specific element at a custom size, want to use designs digitally, or are uploading to a photo printing service.

โœ๏ธ Canva โ€” Customize it yourself

Some PartyinaPDF kits include a Canva template link so you can personalize the design โ€” change names, dates, colors, and more โ€” before printing.

A link to an editable design in Canva’s free online editor

A Canva link opens a ready-to-edit template in your browser โ€” no software to install. You’ll have your own copy of the design to customize however you like. Change the name, the date, the colors, add your own photos. When you’re happy, download as a PDF and print. A free Canva account is all you need.

How to use a Canva template link:

  • 1. Click the Canva link in your download files: The link will be in your downloaded ZIP folder or listed in the product description. It opens directly in your browser.
  • 2. Sign in or create a free Canva account: Canva is free to use. Create an account with your email, Google, or Facebook. You don’t need a paid plan to use these templates.
  • 3. Click “Use template” to get your own copy: This creates your own editable version. You won’t be editing the original โ€” it’s all yours to change.
  • 4. Customize โ€” change names, dates, colors, photos: Click any text to edit it. Canva’s drag-and-drop editor is very easy to use โ€” no design experience needed.
  • 5. Download as PDF and print: Click Share โ†’ Download โ†’ PDF Print (for best quality). Then print from Adobe Reader just like any other PDF.

Not all kits include a Canva link

Editable Canva templates are only included when listed in the product description. Look for “Editable Canva template included” in the product details before purchasing if customization is important to you.

๐Ÿ“ฆ ZIP โ€” A folder of files

Larger kits with multiple files are bundled into a single ZIP file for easy downloading. You just need to unzip it first before using the files inside.

A compressed folder containing multiple files

A ZIP file is like a zipped-up suitcase. It holds all the files for your kit together in one compact package so the download is smaller and faster. Before you can use the files inside, you need to “unzip” it โ€” which just means extracting the contents onto your computer. It’s a one-click process on both Mac and Windows.

How to unzip your file:

๐ŸŽ Mac

๐Ÿ—œ๏ธ Built-in Unzip

No extra software needed. Mac unzips automatically.

Double-click the .zip file โ†’ a folder appears with all files inside

๐ŸชŸ Windows 10/11

๐Ÿ“ File Explorer

Built into Windows. Easy right-click menu.

Right-click the .zip โ†’ “Extract All” โ†’ choose a folder โ†’ click Extract

๐Ÿ“ฑ iPhone / Android

๐Ÿ“‚ Files App

Both iOS and Android can open ZIPs natively.

Tap the .zip in Files app โ†’ it extracts automatically

Can’t find your files after unzipping?

On Windows, the extracted folder often appears in the same location as the ZIP file. On Mac, it appears right next to the ZIP. Check your Downloads folder โ€” look for a new folder with the same name as the ZIP file. All your PDFs and other files will be inside that folder.

๐Ÿ“ธ JPG โ€” Compressed image files

JPG files are occasionally included in kits for photo-heavy designs. They’re smaller than PNGs and great for digital sharing, but don’t have transparent backgrounds.

Joint Photographic Experts Group โ€” compressed image format

JPG is the most common image format on the internet. It compresses images to make them smaller and faster to share โ€” but this compression causes a tiny loss in quality compared to PNG. JPGs always have a white (or solid color) background โ€” no transparency. They’re ideal for designs that are photo-based or when you need a smaller file size for emailing or uploading.

PNG vs JPG โ€” which is better?

PNG = higher quality, supports transparency, larger file size. Best for printing and designs with see-through backgrounds.

JPG = smaller file size, no transparency, slight quality compression. Best for photos, digital sharing, and emailing.

Find Your Format

What are you trying to do with your PartyinaPDF files?

I want to print my party decorations at home or a print shop

✓ Use the PDF file. Open the PDF in Adobe Acrobat Reader, press Ctrl+P (or ⌘+P on Mac), set quality to Best, and hit print. That’s it — the PDF is already perfectly sized and formatted for letter-size paper.

I want to add my child’s name or a custom date to the design

✓ Use the Canva template link. Look in your downloaded files for a file or note with a Canva link. Click it, sign in with a free Canva account, and you’ll have your own editable copy to personalize. When done, download as PDF Print and print as normal.

I want to share the design digitally (text, social, email)

✓ Use the PNG file. PNG files look crisp on screens and can be shared anywhere. If your kit includes a PNG, use that. If not, you can open the PDF and take a screenshot, or download your Canva template and export as PNG.

I want to use just one element and layer it over my own design

✓ Use the PNG file (with transparent background). PNGs often have transparent backgrounds so you can drop them into Canva, Google Slides, or any design tool without a white box. Look for a PNG in your download — if there isn’t one, the PDF version can still be inserted into most programs.

I want to open my download but it’s a .zip file and I’m confused

Unzip the file first, then use the PDF inside. On Mac: double-click the ZIP. On Windows: right-click → “Extract All”. A new folder will appear with all your party files inside. Open that folder and look for your PDFs — those are ready to print!

I want to upload to a photo printing service like Walmart or Shutterfly

✓ Use the PNG or JPG file. Photo printing services (Walmart Photo, Shutterfly, CVS, etc.) accept PNG and JPG files. Upload the file directly to their website or app, select your print size, and order. For the sharpest result use PNG — it has no quality compression.
